Flex Desks Booking#

The implementation of flex desks at the LCSB aims to align our workspace practices with the guidelines outlined in the service note “Allocation and Organisation of Workspaces – Offices”, issued on 10 September 2025 by Marc Grabowski, Director of Administration and Finance, and Jean-Paul Schmit, Head of the Facility Management Department. This new approach supports a more efficient, adaptable, and collaborative work environment.

Flex desks are available in the different UL buildings. They can be book using the UL tool (see below).

This How-to Card explains how to book a flex desk and outlines the key steps and rules to ensure a smooth and fair booking experience for all users.

Access to the Booking Platform#

Flex desks can be booked via the official booking platform on Archibus.

Access requires Uni.lu credentials.

How to book a flex desks#

Users are invited to consult the official documents that fully describe the booking process and rules:

Simplified Procedure (PDF) – A short, practical overview of the essential steps.

Extended Procedure (PDF) – A detailed reference document covering all functionalities and use cases.

General Principles of Flex Desk Use#

  • Flex desks are available on reservation basis only.
  • The longest booking period alowed is 2 months.
  • You can book a flex desk for someone else, even for someone without uni.lu email adresse.
  • If you book a desk, use it. Some random presence checks will be performed.
  • Respect your colleagues! Keep flex desks clean and clear them after use.
  • The flex desks are provided with a screen and a docking station.
